WHAT HAPPENS ON FRIDAY?

CONFERENCE CAR RALLY

On Friday the Conference Car Rally will start at 10am. Registered teams will be sent their challenges, tasks and objectives for their journey to conference. It doesn't matter how far you are travelling - we have teams registered who are starting their journey in Chester but want to take part in this fabulous new event. 

A little bit like a treasure hunt, the idea is that you will be given some things to do, find and collect on your way to Chester. There will be prizes in many different categories but basically this is a great way to start the fun and fellowship of the weekend.

Get the day off, find a few mates to travel with and register for the Conference Car Rally.  REGISTER NOW!

REGISTRATION

From lunchtime, registration will be open at Chester Racecourse - the venue for this year's conference. Everything except the Friday night party will take place here so just aim for the racecourse, park up and follow the signs to registration for your wristband.

ACCOMMODATION

As you know, accommodation has been left very flexible to suit every preference and budget. There are SO many hotels and B&Bs near to the racecourse that there is no need to use your car or even a taxi from the minute you arrive.

PARKING

Weekend parking is available on the Racecourse so once you are parked you can forget about the car and start drinking! If you are parking at your Chester hotel you should be able to walk to the racecourse in less than 15 minutes or jump in a cab for less than a tenner. Chester is a small city so everything is close to the racecourse.

CAMPING

For the first time ever, camping is available at the Conference venue. On the racecourse itself, just metres from the AGM venue and the Saturday night gala dinner, you can pitch your tent or caravan and save a load of money on accommodation. Rumour has it that the campers are planning on making the camping a key part of the weekend; with 'after-parties' and festival fun for all. Toilets and showers are of course provided and as this is our private campsite you don't have to keep the noise down.

RAUCOUS ROMANS FANCY DRESS PARTY

Friday night is party night! Make sure you have your Roman fancy dress sorted and once you are registered, make your way to the stunning Chester Town Hall. This Grade II Listed building is the perfect party venue - right in the middle of town and only a 5 minute walk from the racecourse.

The party venue is split into multiple rooms where you can enjoy live music, International DJs, fabulous food and a few other surprises along the way. There is something for everyone so whether you fancy supping a cocktail in the chilled Live Lounge, doing shots alongside a DJ from the global party circuit or dancing to top quality live music in the Grand Hall - don't miss out on the party of the year.   STARTS 7.00PM

Have your say in how to shape the future of our organisationS

"To keep with the theme of conference this year and to paraphrase Monty Python, “what have National ever done for us?” Well here is your opportunity to find out! This years AGM is in fantastic Chester and will be open to all members to see how the association is ran and to ask questions. Not only that but the weekend promises fantastic parties and entertainment and will show the best of what Round Table and Ladies Circle have to offer. It has been another great year in our respective organisations and this weekend will be one not to be missed! See you there!"

AGMs

Registration for AGMs will start at 8am

Ladies' Circle AGM will start at 8.45am and Round Table at 9.00am

Got that everyone?  So make your plans for the day, drop the kids and the other half off at the zoo, grab a quick bacon buttie and make your way to CHESTER RACECOURSE (did we mention that the venue was Chester Racecourse?) and get ready for the most important meeting of the year.

I know that many of you are chomping at the bit and can't wait to see the Agenda but please be patient as it will not be ready until nearer the time once other meetings have taken place. 

Some busy people with packed agendas and places to be are very keen to know what time the AGM will finish. This is our very important, annual AGM and if you have not been before, you may find that it goes on longer than you might expect. This does take up most of the day but refreshments are available and lunch will be served too. If you need to arrive late or leave early then that is absolutely fine and if you don't fancy the AGM part of the weekend then there is absolutely no obligation to attend - alothoug it is encouraged as it is a great way to feel part of the organisation nationally.

Evening Black Tie Gala Dinner

Followed by an afterparty on site with more live music, DJ and a few surprises!  

Don't forget that you can now buy a ticket just for the Saturday night gala dinner which is perfect if you want to bring the other half to this beautiful meal and fabulous evening entertainment.

There is so much to do and as Chester has recently been voted as the UK's prettiest city (also beating Prague, Budapest, Santorini, Venice and Bruges in the global rankings) why not make the most of your time here and do some sightseeing. Bring the family!

Chester Conference is well and truly upon us. With the National Exec Teams arriving for their meetings tomorrow and registration opening on Friday, this really is yourlast chance to let us know if there is anything that you need from us before you arrive in Chester. You can do so by getting in touch at  conference2018@roundtable.org.uk

Thank you for deciding to join us for the best party in RTBI and NALC in 2018!! 

 

Please take a few moments to read through these instructions as they’ll answer most of your questions and make your weekend as leisurely as possible. 

 

Dietary requirements:  If you have dietary requirements that you have not advised us of yet, please email them to conference2018@roundtable.org.uk as soon as possible.  

 

Registration: 

Registration will be open from 1pm-5.30pm on Friday 4th May at Chester Racecourse.  If you’re planning on going straight to the Friday night event, don’t worry, there will be a registration desk open at the venue from 6.30pm-8pm.  You’ll be given a wristband when you register – please do not lose it as it’s your ticket to all of the events! 

 

Events: 

Friday 4th May – Venue: Chester Town Hall – Northgate Street, CH1 2HJ 

Door open from 7pm 

Dress code: Raucous Romans fancy dress 

This is going to be a fantastic evening with food, live music and some entertaining surprises!  Cash or card payment at the bar.  The venue is right in the middle of Chester and with a late bar licence it will be brilliant! 

 

Saturday 5th May: 

AGM’s 

Venue: Chester Racecourse – CH1 2LY 

AGM Registration starts at 8am. 

Dress code: Ladies Circle is “A day at the Races” so dresses and hats if you wish, alternatively, Circle tops- really, however you feel comfortable.  Round Table – either shirt and tie or table tops, again comfort is the key! 

Ladies Circle AGM starts at 8:45am in the Pavilion Suite, Round Table AGM starts at 9am in the Long Room.  There will be plenty of helpers and signs to guide you to the correct place.  Refreshment facilities are in the County Stand and that is also where lunch will be served. 

 

Gala dinner: 

The bar in the County Stand will open at 6pm for pre-drinks, with a call for dinner at 6:30pm.  Table plans will be on display in the bar area.  This will be a fantastic meal followed by more live music and entertainment until late!  Dress code is Black Tie. 

 

Wifi: 

There is comprehensive wifi throughout the venue, free to access. 

 

Parking: 

Parking can be extremely expensive in Chester so we would encourage you to park at the Racecourse.  We have secured a special rate of £5 per vehicle for the whole weekend.  If you wish to take advantage of this, just pay cash on the gate and you’ll receive a parking pass and you can come and go as you please, or just leave your car there from Friday until Sunday!  Drive onto the main Racecourse site and follow the signs and stewards to our parking area. 

 

Camping: 

The camping facilities are on the Racecourse site, just drive into the main entrance and explain that you have a camping pass and our stewarding team will direct you to the correct place and give you a car park pass as included with your camping pass. 

 

TeamApp: 

Lots more info is on our dedicated Chester2018 app in TeamApp.  Just download TeamApp to your phone and search for “RTBI” the first one that will come up is “RTBI-LC National Conference”.  The app has maps of the venues, extra information on cashpoints, taxi numbers and much much more!
